Bookkeeper

Employment Status: Exempt, part time, 7-10  hours per week on average
Reports to:  NOVA Managing Producer and NOVA Board of Directors
RESPONSIBILITIES
Daily/weekly
Reconcile Deposits
Prepare thank you receipts
Provide assistance and/or answer staff and Board inquiries regarding finances
Maintain donor database
Continually monitors budget in conjunction with the Treasurer
Mid-month and at the end of the month
Review all accounts receivable
Review bills for payment
Prepare checks, pay bills and file bills
Prepare payroll, including liabilities and corresponding forms/eftps ( IRS, MDOR, UI)
Determine handling of outstanding debts and returned checks to NOVA
Monthly
Reconcile bank accounts to general ledger
Reconcile credit card
Update employee information in the system as it relates to payroll, benefits, address changes
Prepare financial statements for monthly Financial Committee and Board Meetings
Meet with Finance Committee and Board
Reconciliation between donor database (Vendini) and financial system (Quickbooks)


Quarterly
Prepare payroll reports and remit payroll deposits as required by State of Montana and IRS
Update budgets
Annually
Prepare W-2s for all employees and provide forms
Prepare 1099s for all vendors deemed to require 1099 reporting and provide forms
Assist auditors with financial information when an annual audit is applicable
Prepare Form 990 and file
Assist Managing Producer and Finance Committee with preparation of annual budget for NOVA by reviewing financial success of former productions to help determine which type of events are likely to be successful and utilize the strengths of the organization
Attends fundraising events and assists with financial transactions
Work with the board to establish annual and long-term fundraising goals, strategies and activities
QUALIFICATIONS
Education: CPA preferred; Or equivalent job experience
Previous non-profit experience, especially management level, desired
Experience with fundraising/development, or related work experience preferable
Computer skills: facile with Microsoft Word, Excel, Quickbooks and other basic programs.
Experience with donor databases and web management tools a plus, but not required
Hours: Part time; flexible hours with some hours worked during normal business hours
SALARY
Commensurate with experience.
Position is subject to a six-month probation period, with an evaluation at 90 days.
